01/Platform

One operating system for the whole distribution business.

Wholara replaces the daily patchwork of ERP screens, spreadsheets, inboxes and phone calls with a single operational layer — and puts an agent on the repetitive work. Nine modules, one set of records, one audit trail.

01/Module

Inventory

A stock position you can trust at 9am, at 2pm and at month end — across every bin, branch and consignment.

Most distributors lose money in the gap between what the system says is on hand and what is actually available to promise. Committed orders, in-transit transfers, quality holds and unposted receipts all move the real number. Wholara keeps those movements in one place and recalculates availability continuously.

  • Availability that means something — on hand, committed, inbound and available-to-promise shown separately, never blended into one misleading figure.
  • Location truth — bin, aisle, branch, van stock and consignment inventory in one hierarchy your team already understands.
  • Cover, not guesswork — days of cover recalculated from live demand and lead time, with slow movers and dead stock aged explicitly.
  • Traceability where it matters — batch, lot, serial and expiry tracking for the categories that require it, without forcing it on the ones that do not.
  • Counting that closes — cycle count schedules, variance tolerance and adjustment approval in the same workflow.

Illustrative interface with sample data.

What it replaces

The weekly stock spreadsheet, the "can you check Dallas for me?" phone call, and the month-end reconciliation that always finds a discrepancy nobody can explain.

Who lives in it

Buyers checking cover before committing, warehouse supervisors settling a short pick, and account managers quoting from a number they can defend.

How you would know it is working

Fewer emergency transfers, fewer surprise stockouts on A-class lines, and a working-capital number you stop having to reconstruct by hand.

02/Module

Purchasing

Buying that starts from demand, respects supplier reality and produces a purchase order your supplier can actually fulfil.

Replenishment fails for boring reasons: the reorder point was set once, the lead time changed, the MOQ was ignored, or two branches bought the same item in the same week. Wholara builds suggestions from live cover and supplier terms, then groups them so a buyer reviews a decision rather than typing a document.

  • Suggestions by supplier — one review produces one purchase order, with quantity, deal break and delivery date proposed.
  • Landed cost built in — freight, duty, surcharge and rebate applied to the true cost used for pricing and margin.
  • Approval by value — thresholds by category, buyer or branch, with a full record of who approved what.
  • Receiving that matches — receive against the PO, capture short shipments, over-shipments and substitutions, and update supplier performance automatically.
  • Supplier collaboration — send the PO, chase the confirmation, log the promise date, and see slippage before it becomes a stockout.

Deal-break logic

When a price break sits just above the calculated need, Wholara shows the extra spend, the extra cover and the break-even consumption required — so the decision is explicit rather than accidental.

Receiving discrepancies

Short, over, damaged and substituted lines are captured at receiving. They update the PO, the supplier scorecard and the customer promise date in one action.

03/Module

Pricing & margin

One pricing engine, applied consistently — from a counter quote to a contract release to a freight-heavy delivery.

Margin rarely disappears in one dramatic moment. It leaks: a stale cost here, a waived freight charge there, a contract price nobody updated after the last cost increase. Wholara prices every line from the current cost and the customer's actual agreement, and it stops the quote before it goes below your floor.

  • Cost ladders — average, latest, replacement and standard cost kept distinct so you can price on the one your business actually uses.
  • Customer contracts — negotiated price files with effective dates, expiry, uplift rules and approval history.
  • Matrix and tier pricing — price by product group, customer class, quantity band or branch, in the order you define.
  • Freight and surcharges — delivery charges, fuel surcharges, small-order fees and pallet charges applied by rule, not by memory.
  • Margin guardrails — a floor by category or account. Below it, the order waits for a named approver with a reason attached.
  • Rebates and settlements — track supplier rebate accruals and customer rebate obligations so both sides of the margin are visible.

Cost changes do not wait

When a supplier cost or landed cost changes, every affected price file, quote and standing order is re-evaluated the same day and the margin impact is listed for review.

Quotes that become orders

A quote carries its pricing basis with it. When the customer accepts, the order inherits the same rules, so what was quoted is what gets invoiced.

04/Module

Orders

Every order, however it arrived, in one queue — priced, checked and ready to fulfil.

Orders arrive by EDI, email attachment, customer portal, phone and rep visit. Handling them in five different places is how mistakes get made. Wholara normalises them into one queue, then applies the same checks to all of them.

  • Capture from anywhere — EDI 850/855/856, parsed email and PDF purchase orders, CSV drops, portal submissions and manual entry.
  • Checks before promises — customer credit position, price agreement, stock availability and delivery capability validated at entry.
  • Substitutions that keep orders whole — when a line is short, Wholara proposes an equivalent SKU with the margin and lead-time impact shown.
  • Exceptions, not noise — price mismatches, unknown part numbers, credit holds and impossible dates are isolated for a human with the evidence attached.
  • Documents out — acknowledgement, picking note, packing list, delivery note and invoice data generated from the same record.

Fulfillment

Getting the right goods onto the right truck — and telling everyone the truth about when it will arrive.

Fulfillment is where promises meet physical reality. Wholara sequences the work, allocates stock by rule, surfaces the short pick before the truck leaves, and keeps the customer informed without anyone composing an email.

  • Allocation rules you set — by order priority, customer tier, delivery date, branch proximity or margin, applied consistently.
  • Wave and route planning — group picks by zone, carrier cut-off and route so the warehouse works in a sensible order.
  • Short picks handled properly — partial ships, backorders, substitutions and split deliveries recorded against the order, with the customer notified.
  • Carrier and freight — rate selection, consignment notes and tracking references captured per shipment.
  • Delivery confirmation — proof of delivery, failed-delivery reasons and collection status feeding straight back into customer service.
  • Substitutions that respect the customer — replacement lines only proposed where the customer's own rules allow them.

Suppliers

Know which suppliers deliver, which ones drift, and what that drift costs you.

Supplier performance scorecard with sample data
Supplier Fill rate On-time Lead time Price trend
Orion Materials96%94%18 d+4.1%
Summit Co.91%88%11 d+1.2%
Brock Industries98%97%7 d0.0%
Halden Works84%76%24 d+6.8%

Illustrative scorecard with sample data. Wholara derives these measures from your own purchase orders and receipts, not from a survey.

  • Lead time that updates itself — promised versus actual receipt dates feed the lead time used in replenishment, so a drifting supplier automatically changes when you buy.
  • Alternates on file — approved substitute suppliers and part numbers per item, so a failure has a route out.
  • Rebate tracking — volume and growth rebate thresholds monitored against accruals, with the gap to the next tier visible.
  • Terms and settlement — payment terms, early-settlement options and their margin value recorded per supplier.
  • Price movement watch — cost changes flagged with the effective date and the SKUs whose pricing needs review.
07/Module

Customers

One customer view that combines what they buy, what they are charged, how they are served and what they owe.

In most distributors, the commercial picture of a customer lives in the ERP, the service picture lives in the warehouse team's memory, and the margin picture lives in a spreadsheet. Wholara puts those three together on a single record.

  • Ordering patterns — what each account buys, how often, in what quantity and how that is changing.
  • The price file that applies — contract, matrix or list price, with the effective dates and the history of who changed it.
  • Service history — fill rate, short ships, late deliveries and credits per account, so a complaint has context.
  • Credit position — limit, exposure, overdue balance and the orders that will be held if it is breached.
  • Churn signals — accounts whose order frequency or basket size is quietly declining, surfaced before they stop ordering.

Intelligence

The agent layer that turns a data change into a prepared decision — and knows when to ask.

Watches continuously

Demand shifts, cover erosion, supplier slippage, price movement, credit exposure, ageing stock and stalled orders — monitored on your data, not on a schedule someone forgot.

Reasons in plain language

Each signal arrives with the inputs that produced it and the assumptions it used, so a buyer can disagree with the reasoning rather than the number.

Acts within your limits

Below your thresholds the agent commits: sending a PO, holding an order, reallocating stock. Above them it prepares and waits. Both paths are logged identically.

Automations distributors switch on first

Reorder below cover threshold

Group SKUs into supplier POs when projected cover drops under the target, respecting MOQ, deal breaks and pack sizes.

Chase unconfirmed purchase orders

Flag POs with no supplier confirmation inside the expected window and draft the follow-up with the order detail attached.

Hold below-floor pricing

Stop a line shipping under the approved margin and present reprice, accept, or substitute options with the numbers shown.

Rebalance stock between locations

Propose transfers where one branch is long and another is short inside the same week, net of freight cost.

Resolve short picks

Search other locations, check substitute eligibility and offer split or partial delivery before the cut-off.

Notify customers proactively

Draft service updates for affected orders with revised dates, so the call arrives before the complaint does.

What the agent will never do on its own

  • Change a customer contract price or agreed uplift without approval.
  • Exceed a purchase order value or credit limit threshold you have set.
  • Delete a record, reverse a posted transaction, or amend financial history.
  • Contact a customer with anything other than a reviewed template.
  • Make a promise about delivery dates it cannot verify from stock, carriers and capacity.

Reviewable in hindsight. Every automated action can be listed by workflow, value, user and outcome, so you can audit the agent's behaviour the same way you would audit a person's.

09/Control

Configuration, reporting and the technical foundation.

The unglamorous parts that decide whether a system survives contact with a real distribution business.

Rules you own

Reorder targets, service-level goals by category, approval thresholds, substitution rules, pricing order of precedence, cut-off times, carrier selection logic and notification templates — all configurable without a change request.

Reporting and exports

Operational reports built on live records: fill rate, service level, stock cover, aged stock, margin by account, supplier performance, price exceptions and working capital. Every view exports cleanly, and scheduled extracts can go to your data warehouse.

API and webhooks

REST endpoints for items, customers, suppliers, inventory, purchase orders, sales orders and pricing, plus webhooks for order, receipt, shipment and exception events. Source keys and revisions make integrations retry-safe.

How Wholara fits your technical environment

Deployment

Delivered as a hosted multi-tenant platform with your data logically isolated. Single-tenant and region-specific hosting are available for customers that require them.

Data ownership

Your operational data is yours. Full exports are available on request and at the end of a contract, in documented open formats.

Identity

Email and password sign-in with optional multi-factor authentication. Single sign-on via SAML or OIDC is available on enterprise terms.

Audit

Immutable records of changes to prices, orders, purchase orders, stock adjustments and approvals, retained for the period agreed in your contract.

Reliability

Backups, monitoring and incident communication commitments are set out in the service agreement rather than implied. Status and maintenance windows are agreed with your operations lead at onboarding.

Environments

A sandbox environment mirrors your configuration for testing rules, integrations and training before anything reaches live data.

Implementation, not installation

A rollout is a sequence of configured workflows, not a big-bang switch. Most teams start with one process, run it alongside the existing one until the numbers agree, then widen to the next.

  1. Connect and map

Items, customers, suppliers and locations loaded or synced, then reconciled against the source system.

  2. Configure your rules

Service levels, reorder logic, pricing precedence, approval thresholds and substitution policy.

  3. Run in parallel

One workflow, compared against the current process, with differences explained before you switch.

  4. Train the desks

Role-based sessions for buyers, warehouse, sales and management using your own catalogue and history.

  5. Widen deliberately

Add the next module once the first is stable, with a named owner on both sides.

10/Questions

Platform questions

The things operations and IT leads ask on the first call. More answers in the resource centre.

No, and in most cases we would advise against it. Wholara is designed to sit alongside the systems that already hold your financial and statutory records. It takes on the operational decisions and the repetitive work, then writes confirmed transactions back.

If you have no ERP, or an old one that no longer serves the business, Wholara can hold the operational record itself — but that is a conversation about your roadmap rather than a requirement of the product.

Wholara is built for catalogues in the tens of thousands of SKUs across multiple locations, which covers the large majority of independent and regional distributors. Performance characteristics for your specific volumes, locations and order rates are confirmed during scoping and validated in a sandbox with your data.

You can export your operational data at any time and on termination in documented formats. Exit terms, retention periods and deletion timelines are written into the service agreement so there is no ambiguity later.

Yes. Work is generated for handheld scanning and printed pick documents, and Wholara integrates with the WMS or barcode layer you already run where one exists. The screen layouts are usable on a tablet at a packing bench, not just on a desktop.

Every automation is switched on individually. You choose which workflows are active, what value or quantity they may commit to without review, and who approves anything above that. Automations can be paused at any time without disrupting the underlying process.

See it running on your own catalogue.

A demo is more useful with real data. Bring an item file, a customer list and one order that went wrong.
